How design connects to construction: drawings, samples and changes

A handoff checklist linking design decisions to drawings, samples, responsible parties and approvals—with scope and responsibilities clearly stated.

Turn decisions into handoff information

For each key decision, record the relevant plan, elevation, detail, finish or equipment information and its version. Requirements left only in chat or a rendering can lose context.

Handoff information should state what to do, where, which version applies and what still needs approval. Mark unresolved items as pending rather than assuming approval.

Link samples and equipment to drawings

When a sample is approved, record model, color, dimensions, approver, date and location, and link it to a drawing or schedule. Sample approval does not verify every installation condition.

For junctions, substrates, lights, switches, equipment dimensions or service access, review related interfaces—not only the visible finish.

Keep a clear change record

When site conditions, supply or needs change, record the reason, affected areas, cost or schedule implications, requester, approver and implementation version. An unapproved change is not settled.

The owner, designer and builder should be able to identify the same current version, avoiding old drawings running alongside new verbal instructions.

  • Change and reason
  • Affected drawings, finishes and interfaces
  • Cost, schedule and responsibility implications
  • Written approval status and current version

Set handoff checks at each stage

Before moving forward, check whether information is complete, responsibilities are clear, the site needs remeasurement and unresolved items affect later work. Keep the issue, owner and status in one record.

Boundary: delivery responsibilities depend on the agreement

Drawing detail, site visits, construction management and inspection vary by service. State scope, response and responsibility boundaries in the agreement; this guide is not a promise of services for a specific project.
